DLS Outlook 2003 Junk Mail

 

This document will provide basic instructions on how to operate the Junk Mail filter in Microsoft Outlook 2003 for Windows. 

In the DLS, the Outlook 2003 Junk Mail filter will be enabled by default.  This means your email is being checked and filtered every time Outlook is run.  This document can be used to learn how to block or allow certain email address as well as raise or lower the junk mail filter level.  Please check the Junk Email folder regularly to ensure that legitimate email is not categorized as Junk.

Regular checking for Junk E-Mail or mis-categorized email

    You should regularly check the Junk Email folder in Outlook 2003 for possible legitimate email.  Simply select the Junk Email folder from the left folder list.  This will display a list of emails which have been categorized as Junk.  Go thorough these and make sure that the folder holds no legitimate mail.

 

 

Adding an email to the Blocked Sender List

   The easiest and quickest way to do this is to right click on the email and select the Junk Email menu, then select Add Sender to Blocked Senders List.  This is shown clearly in the illustration below.  This will add the email address to the Blocked Senders List and move the email to the Junk E-Mail folder.  A popup may be seen which repeats this step.

 

 

Adding an email to the Trusted Sender List

     Select any email which should never to be regarded as Junk E-mail, then right click on the email.  Select the Junk Email menu and the option Mark as Not Junk.  From now on all email from this address will always be delivered to your Inbox.

 

 

Raising and Lowering the Junk Mail Tolerance

  This will enable control to raise or lower the sensitivity for detecting Junk E-mail.  However the more sensitive it is, the more likely it will filter some legitimate email as well.  To modify this setting, select the Actions Menu, then Junk E-mail, then Junk E-mail Options...

 

   The first tab Options contains the sensitivity settings.  Typically we recommend using High setting, however this can be changed by a user anytime.  Low will let much more Junk E-mail through, and Safe List Only will catch ALL email which has not specifically been allowed by you.  We also do not recommend enabling the option to delete suspected junk email.

 

 

Viewing the Blocked and Trusted Sender Lists

     These lists will allow you to add or remove email addresses from the Blocked and Trusted Lists.  To modify this setting, select the Actions Menu, then Junk E-mail, then Junk E-mail Options...

 

     The Safe Senders tab will list all the email addresses of trusted senders.  To modify this list simply select a name and click Edit... or Remove.  In order to manually add an address simply select Add... from the right button list and type the address in the popup.  It will also accept email from anyone listed in your Contacts unless the appropriate option is unchecked. 

 

    The Blocked Senders tab will list all the email addresses of people we never wish to receive email from.  To modify this list simply select a name and click Edit... or Remove.  In order to manually add an address simply select Add... from the right button list and type the address in the popup.
